Job Description
Responsibilities
Payroll & Income Tax Processing
- Preparation of monthly headcount and other reports for financial reporting purposes Process monthly payroll, reimbursements, claims and any other ad hoc salary payments Generate monthly payroll summaries and ensure timely submission of CPF returns and income tax details to IRAS
- Ensure payroll work processes are in compliance with existing statutory laws and company policies.
- Perform tax clearance for foreign employees
- Respond to employees for any salary payment-related enquiries and issues if any
- Oversee and manage payroll system and ensure software settings are up-to-date
- Regular review of payroll work processes and suggest improvements
- Attend to government audits and surveys
- Update employees’ performance records during increment and bonus periods
- Ensure proper records and filings for auditing purposes
Insurance
- Collating insurance claim documents and preparation of endorsement letters
- Liaise with insurance vendor for insurance policy renewals and quotations
- Attend to employees’ enquiries for medical claims and related matters
- Ensure proper records and filings
Administration
- Regular inspection of facility façade for any defects or damaged items and ensure all issues are fixed in a timely manner
- Maintain a detailed vendor list record and liaise with various respective vendors for repair and maintenance works, contract renewals and quotations.
- Ensure stationery and pantry items are sufficiently stocked
- Ad-hoc print jobs for name cards, internal posters and brochures
- Manage storage room access and upkeep
- Attend to facility inspections from the various government agencies
- Assist in flight-bookings
- Rental vehicle arrangements for Service Department
- Arrange courier services for document and parcel deliveries
- Corporate events planning, coordination and support
- Attend to company’s mailbox and distribute the mails accordingly
- Manage and oversee the security and office cleaning team
- Ensure e-wastes are correctly dispose according to requirements
- Generate IT server room access reports and logs
- Hold monthly Fire Safety Committee meeting and oversee the maintenance of fire alarms
Requirements
- Bachelor’s degree in human resource, business management or related fields
- At least 2 years of relevant working experience
- Candidates with full payroll experience are preferred
- Proficient in Microsoft Excel for analytical tasks
- Has a good knowledge of local statutory requirements and compliance
- Has a keen eye for details and the ability to analyze and resolve issues when they arise
- Able to work independently as well as a team player
